Standard Operating Procedure Template
You can't delegate what only lives in your head. This SOP template turns any repeatable workflow (uploading a video, scheduling a week of posts) into clear, hand-off-ready steps so a teammate can run it exactly like you.

What you get
- A header that names the process, owner, and when to run it
- A numbered step table with tools, who does it, and the expected result
- A definition-of-done section so quality is built into the procedure
- Editable CSV for Google Sheets or Excel, plus a branded print-ready PDF
How to use this template
- 1. Pick a repeatable task. Choose a process you do the same way regularly: publishing a video, invoicing a client. Repeatable work is what's worth documenting.
- 2. Record while you work. Write the steps the next time you actually do the task, so you capture the real workflow, not an idealized version.
- 3. Name the tool per step. For each step, note the exact tool and where it lives, so whoever follows the SOP isn't hunting for logins or links.
- 4. Test with someone else. Have a teammate run the SOP without your help. Every place they get stuck is a step you need to clarify.

What is a standard operating procedure?
A standard operating procedure, or SOP, is a written set of numbered steps for a task you do the same way every time. Each step names the tool, the person responsible, and what the result should look like, so the work can be done by someone other than you.
The trigger to write one is usually a hire: a first editor, a part-time assistant, a thumbnail designer. SOPs help solo creators too, because a documented publish routine stops you forgetting the end screen or the pinned comment at eleven at night. One page per recurring task is usually enough to start with.

Frequently asked questions
What is a standard operating procedure?
A numbered, written procedure for a repeated task, listing the tool, the owner and the expected result at each step. It exists so the task can be handed to someone else and still come out the same.
What makes a good SOP for a creator?
Specificity. A good SOP names the exact tool for each step, who does it, and what 'done' looks like, written clearly enough that someone new could follow it without asking you a single question.
When should I start documenting SOPs?
As soon as you plan to delegate, or any time a repeatable task eats hours each week. Documenting it once converts a recurring mental load into something you can hand off or batch.
How detailed should a creator SOP be?
Detailed enough that a new editor finishes the task without messaging you. Name the exact tool and the exact folder, not the general idea. Where a step needs judgement rather than instruction, say so and name who makes the call.
What is the difference between an SOP and a checklist?
A checklist confirms things were done. An SOP explains how to do them, in order, with tools and owners. Many creators pair the two: the SOP teaches the process and a short checklist at the end acts as the quality gate.
